Here is the challenge: embroidery uses thread, not ink. Thread comes in a fixed set of colors. You cannot mix thread the way a printer mixes ink. So how do you get a perfect match? This guide explains how thread color matching works and how to get the best result for your brand.

WHY THREAD IS DIFFERENT FROM INK

A printer can blend ink to hit almost any color code. Thread cannot be blended. Each stitch is one solid color of thread, chosen from a chart.

The good news: thread charts are big. Major thread brands offer 400 to 600 colors. That covers almost every brand color in use. In most cases, we can find a thread that matches your color so closely that no one can tell the difference.

HOW PROFESSIONAL THREAD MATCHING WORKS

Step 1. You send us your brand colors.

The best format is a Pantone (PMS) number. Most brand guidelines include one. If you do not have Pantone numbers, send your logo file or your hex codes. We can work from those too.

Step 2. We convert your color to thread.

Thread manufacturers publish conversion charts that map Pantone colors to thread colors. We start there, then confirm the match by eye against a physical thread chart. Screens can lie. Physical thread does not.

Step 3. You approve a proof.

Before we stitch your full order, you see a proof. For large or color-critical orders, we can stitch a physical sample so you see the real thread on the real fabric.

WHAT IF THERE IS NO EXACT MATCH?

Sometimes a brand color falls between two thread colors. When that happens, we show you both options and give our recommendation. A few things guide that choice:

Go slightly darker, not lighter. Darker thread tends to look more intentional. Lighter thread can look faded.

Consider the fabric color. The same thread looks different on white, navy, and heather gray. We match the thread to how it will actually appear on your garment.

Consider sheen. Thread has a natural shine that flat printed ink does not. A glossy thread can read slightly brighter than its chart color. We account for that.

WHY YOUR LOGO LOOKS DIFFERENT ON DIFFERENT FABRICS

This surprises many customers. The same thread color can appear to shift on different garments. Here is why:

Contrast. Red thread pops on white but darkens visually on black.

Texture. Pique polo fabric breaks up light differently than smooth twill on a cap.

Lighting. Office light, sunlight, and photos all render thread a little differently.

None of this means the color is wrong. It means thread is a physical material with depth and sheen. Most brands see this as a feature. Embroidery looks rich in a way flat printing does not.

TIPS FOR EMBROIDERY-FRIENDLY BRAND COLORS

If you are still designing your brand, or open to small adjustments, these tips help:

Keep it to two to four colors. Fewer thread changes means cleaner stitching and lower cost.

Avoid gradients. Thread cannot fade smoothly from one color to another the way ink can. Gradients get simplified into stepped bands of color.

High contrast wins. Your logo colors should stand out against the garments you plan to order. If your gear will be mostly navy, make sure your logo works on navy.

Neons are limited. Fluorescent thread exists, but the range is small. If your brand uses neon, ask us to check availability first.

WHAT ABOUT METALLIC AND SPECIALTY THREADS?

Yes, they exist. Metallic gold and silver threads add real shine to logos and monograms. There are also glow-in-the-dark and color-changing specialty threads. Metallic thread is stiffer and better suited to items that are not washed constantly. We will tell you if your item is a good fit.

HOW WE KEEP YOUR COLORS CONSISTENT

Once we dial in your thread colors, we save them on file. Every future order uses the same thread numbers. Your caps from this year will match your polos from last year. Consistency is automatic.

FREQUENTLY ASKED QUESTIONS

Can you match any Pantone color in thread?

Almost always. With 400 to 600 thread colors available, most Pantone colors have a near-exact thread equivalent. If your color falls between two threads, we show you both and recommend one.

What file or info should I send for color matching?

Pantone numbers are best. Hex codes or a high-quality logo file also work. If you have brand guidelines, send them.

Does thread color fade in the wash?

Quality polyester thread is colorfast. It resists fading through hundreds of washes. This is one reason embroidery outlasts printing.

Can you embroider a gradient logo?

Not as a true gradient. We simplify gradients into solid color bands or suggest a one-color version. Many logos have a simplified embroidery version for exactly this reason.

Do you keep my thread colors on file for reorders?

Yes. Once your colors are approved, every reorder uses the same thread numbers.
